AI-Powered PDF Importer - smarter Term Sheet processing for Structured Products.

Hi all,

Since 2016, LexiFi Apropos has enabled users to import term sheets directly into the platform, significantly streamlining the structured product booking process. Our PDF Importer has successfully processed tens of thousands of unique term sheets since its initial launch, helping users reduce manual data entry and operational risk.

During these 10 years, we have continuously enhanced the importer, refining it through real-world usage, learning from both its own errors and inconsistencies in term sheets themselves.

LexiFi released recently a revamped version. This enhanced version includes cutting-edge AI technology, making it faster, smarter, and more adaptable than ever. The experience gained over the years associated to the many examples collected so far appeared essential in an efficient implementation of the IA driven solution.

Instead of relying on predefined rules and layouts, the new system leverages multi-modal AI models that process not only text but also tables and images (including mathematical formulas commonly found in structured product term sheets). This major upgrade ensures more accurate data extraction from a wide range of issuer documents, regardless of layout or complexity.

By understanding financial contracts in natural language, the AI-powered importer automatically recognizes key characteristics, including complex and exotic payoffs, and seamlessly integrates them into our system for pricing, lifecycle management, and analysis. With built-in error detection and validation mechanisms, it ensures accuracy while significantly reducing operational risk.

Why this matters for clients?

Minimal manual intervention → Speeds up structured product onboarding.

Increased accuracy & reliability → Reduces operational risk from manual data entry errors.

Scalability → Works with any term sheet, from any issuer, without manual configuration.

Greater adaptability to financial language → No need to adjust rules manually when issuers change formats.

Continuous improvements → We actively monitor the latest AI models and integrate innovations to keep the importer ahead of the curve.

Advanced error detection → Helps catch inconsistencies before products are booked, preventing financial misinterpretations.

A smarter, End-to-End process

Beyond just AI, we’ve optimized every stage of the import process:

  • Pre-processing: the system cleans PDFs by removing unnecessary elements such as headers, footers, and noisy metadata, when these elements don’t contain any financial relevant information.
  • AI-Powered extraction: leveraging multi-modal Large Language Models (LLMs), the importer intelligently deciphers complex term sheets, recognizing payoff structures, dates, underlying assets, and formulas, even when embedded as images.
  • Post-processing & validation: extracted data is further analyzed and structured, ensuring mathematical formulas are correctly interpreted, inconsistencies are flagged, and any missing or ambiguous information is highlighted.

Continuous innovation & cross-provider AI

We actively evaluate and integrate the latest AI advancements, working with multiple model providers to ensure the highest level of performance and flexibility. Our commitment to continuous investment in AI research means the importer keeps improving, adapting to new term sheet formats and financial product structures.

Beyond importing: error detection & smart insights

A key new capability is the ability to detect errors directly in term sheets. In some cases, the AI identifies inconsistencies in payoff definitions or missing conditions that could lead to misinterpretations.

Step-by-Step Process

1. Document ingestion

  • A user drags & drops a PDF term sheet into LexiFi Apropos.
  • The system automatically processes the document without requiring manual intervention.

2. AI-Based text recognition & parsing

  • Unlike the previous system, which relied on layout and keyword analysis, the new importer uses a deep-learning NLP model to understand financial language.
  • The AI model extracts key financial data such as:
    • Dates (maturity, observation, coupon dates)
    • Payoff formulas
    • Underlying assets (stocks, indices, baskets)
    • Notional amounts and barriers
    • Issuer information

3. Context-aware extraction & normalization

  • The AI understands the meaning behind financial terms rather than just recognizing predefined keywords.
  • It adapts to different issuers and identifies variations in financial jargon across term sheets.
  • If a term sheet contains a complex or exotic payoff, the AI translates it into a standardized generic formula that can be used for further pricing and risk management in LexiFi.

4. Error handling & control mechanisms

  • The system includes built-in validation mechanisms to detect inconsistencies.
  • If the AI fails to fully understand certain details, it:
    • Flags the missing information
    • Provides a warning notification to the user
    • Suggests possible corrections or human validation

💡We actively monitor import warnings and errors, tracking them to improve the system continuously. Each flagged issue provides valuable insights that help us refine extraction accuracy, enhance formula recognition, and expand coverage across different term sheet variations.

5. Seamless integration into LexiFi Apropos

  • Once extracted and validated, the structured product is automatically integrated into LexiFi’s platform and immediately eligible for full treatment and manipulation by LexiFi’s platform.

Upcoming enhacements

The contract input dashboard in LexiFi Web is being redesigned to offer greater flexibility and efficiency. Soon, you will be able to import multiple contracts at once and perform a range of actions seamlessly.

Key improvements:

  • Greater control over imports: contracts will no longer be saved automatically, allowing you to review and manage them before finalizing.
  • Persistent warnings: previously, warnings appeared in a temporary soft popup. Now, they will be displayed directly in the table and will remain visible until addressed.
  • Flexible contract management: you will be able to save, download, delete, or simply remove contracts from the table as needed.
  • XML conversion without saving: convert files to XML without the need to first save them as contracts.

These updates are just the beginning - more enhancements are on the way to further improve contract management and usability.

How can you help?

We encourage you to carefully review extracted data and share any feedback on discrepancies. Your input not only helps us refine the system but also ensures that those who contribute benefit from continuous improvements, leading to an even more seamless and tailored experience in structured product automation.

⚠️ While the AI-powered importer significantly improves efficiency and accuracy, the process remains heuristic-based, and a 100% success rate cannot be guaranteed - if only because term sheets themselves sometimes contain inconsistencies or errors. It is the user’s responsibility to check correctness of the instrument parameters before further use inside LexiFi’s software solution.
